We are actively recruiting for a Sr. Practice Administrator for our South Jersey Fertility Center in Marlton, NJ.
This is an on-site / multi-site role with locations in Marlton, Sewell & Egg Harbor Township (NJ). Expectation is for Sr. Practice Administrator to travel to all 3 offices at least 1x week.
The Sr. Practice Administrator provides executive-level leadership for a multi-site Care Center, overseeing clinical and non-clinical operations, financial performance, quality, compliance, and strategic growth. This role partners closely with physicians, MSO teams, and regional leaders to drive operational excellence, patient experience, and colleague engagement across all locations.
Essential Functions:
Practice Leadership & Operations
- Direct, supervise, and coordinate all clinical, operational, and financial activities of the Care Center across three locations.
- Provide day-to-day leadership and oversight to clinical and non-clinical teams.
- Interpret and implement organizational policies, objectives, and operational procedures.
- Partner closely with the Lead Physician on practice operations and priorities.
- Coordinate with affiliate hospitals to support care delivery and operational needs.
- Oversee facility operations, maintenance, and equipment.
- This is a fully on-site role with up to 20% travel.
Strategic Growth & Business Development
- Participate in the development and execution of the Care Center’s strategic growth plan.
- Support long-term business initiatives to drive growth, scalability, and profitability.
- Oversee the launch of new programs and revenue streams.
- Evaluate ROI and support expansion opportunities.
- Serve as a liaison with referring practices to strengthen relationships and drive referrals.
- Partner with Marketing on care center initiatives, events, and promotional activities.
Financial Performance & Revenue Cycle Oversight
- Drive performance against key operational and financial KPIs, including new patient volumes, productivity, and front-end denials.
- Utilize data and analytics (Tableau) to inform decision-making and performance improvement.
- Identify billing and payer trends in collaboration with Revenue Cycle Management partners and lead resolution plans.
- Ensure adherence to cash management processes, including timely completion of weekly deposits.
- Manage clinical and non-clinical expenses in alignment with approved budgets.
- Identify cost-saving opportunities.
- Oversee office and medical supply spending.
- Ensure purchase orders are accurate and maintained in Coupa.
Quality, Compliance & Risk Management
- Collaborate with clinical leadership to develop and implement quality improvement initiatives.
- Ensure delivery of high-quality care and compliance with industry standards.
- Maintain compliance with regulatory and state governing bodies in partnership with MSO teams, including CLIA, OSHA, CDC, and DOH requirements.
- Participate in MSO and regional initiatives related to quality, compliance, and operations.
Patient Experience
- Oversee the patient experience across all locations.
- Drive patient experience improvement initiatives and action planning.
- Manage escalation and resolution of patient complaints.
Colleague & Provider Leadership
- Lead the colleague experience, driving engagement, development, and retention.
- Oversee the colleague lifecycle from recruitment through separation.
- Lead performance management, coaching, and development efforts.
- Implement colleague recognition and engagement programs.
- Mentor and support new or developing Practice or Care Center Managers.
Provider Support & Clinical Operations
- Oversee provider support functions, including scheduling, on-call coverage, reimbursement coordination, and PTO administration.
- Manage provider and physician credentialing processes.
- Support efficient clinical operations through staffing optimization and workflow design.
Supervisory Responsibilities
- Directly and indirectly manage approximately 60+ colleagues and 8 providers across multiple locations.
Education & Experience
- Bachelor’s degree from an accredited college or university in Business, Healthcare Administration, or a related field required.
- Minimum of 5 years of experience managing a high-volume healthcare practice; OB/GYN or Fertility experience strongly preferred.
- Proven experience managing a multi-site practice.
- Demonstrated experience leading teams of 60+ colleagues and multiple providers.
- Strong knowledge of electronic billing processes and medical insurance.
- Experience with EHR systems and healthcare IT; Artisan experience preferred.
